About the Role
As a Sales Operations Specialist, you will play a key role in shaping and scaling the Sales Operations function within our global organization. You’ll take ownership of the end-to-end order-to-fulfillment process, ensure forecasting accuracy, and provide support across internal teams through robust reporting, licensing coordination, and operational excellence.
This is a highly cross-functional position that requires a data-driven, independent, and solution-oriented professional. Strong proficiency in Salesforce and Excel/Power Query is essential, along with an eagerness to contribute to Sales success.
Responsibilities
1. Order Fulfillment & Licensing Operations
- Review incoming purchase orders (POs) to ensure they comply with internal policies and include all required information.
- Ensure orders are entered correctly into the system to enable seamless fulfillment, billing, and post-sale support.
- Coordinate license delivery through:
- • Physical dongles (USB) shipped internationally
- • Cloud license deployment via secure hash keys
- Own the full lifecycle of order processing within your assigned regions:
- • Follow up on open cases, collect missing PO details, and collaborate with Sales and TechOps teams
- • Ensure no order is delayed and all relevant stakeholders are kept informed
- Lead regular 1:1 syncs with sales representatives to maintain clean pipelines, improve process efficiency, and encourage adoption of sales tools.
- Proactively track and manage open issues and requests using Jira and other internal systems.
2. Reporting, Forecasting & Sales Analytics
- Develop and maintain sales dashboards, KPI reports, and forecast accuracy tracking using Salesforce, Excel (Power Query), and BI tools.
- Monitor pipeline quality and sales trends, providing insights to leadership and the Sales team.
- Support executive reviews and revenue strategy meetings with data-driven materials.
3. Salesforce & Quote Management
- Create and maintain Salesforce reports and dashboards to support Sales and Finance.
- Assist in quote generation and opportunity closure processes, with a focus on renewals and subscription deals.
4. Cross-Functional Collaboration & Business Reviews
- Work closely with Finance, Customer Success, Marketing, R&D, and TechOps to optimize the quote-to-cash cycle and ensure smooth license delivery.
- Support Quarterly Business Reviews (QBRs) by preparing presentation decks in PowerPoint (or equivalent), highlighting performance metrics and regional updates.
Required Skills and Qualifications
- 3+ years of experience in Sales Operations or Business Analytics within a software or high-tech company; experience in a publicly traded company is a plus
- 3+ years of hands-on Salesforce experience, with strong skills in dashboards, reporting, and data troubleshooting.
- 3+ years of experience using Power Query and advanced Excel, with a strong ability to clean, structure, and visualize data.
- Experience working with global teams and comfortable managing cross-regional communication and support
- Confluence knowledge for maintaining internal documentation and processes
- Proficiency in using Jira to track tickets and follow up on internal and external cases is a plus
- Strong analytical mindset with the ability to work independently with a “can-do” and a problem-solving approach
- Team-oriented with excellent communication skills and a customer-first mindset
- Detail-oriented, process-driven, and motivated to help build and shape the Sales Operations function
- Fluent in English, both spoken and written
