We are seeking a highly organized, detail-oriented Administrative Assistant to join our team in Tel Aviv. This is a 50%, on-site position, working closely with company leadership and playing a central role in supporting both executive and operational workflows.
Role Description
This is a full-time on-site role for an Office & Executive Operations Lead, located in Tel Aviv District, Israel. The role involves managing daily office operations, supporting executive team workflows, and ensuring seamless administrative processes. Responsibilities include coordinating schedules, organizing meetings and events, managing workspaces, providing operational support to leadership, streamlining operational procedures, and collaborating across teams for efficient communication and execution.
Key Responsibilities:
- Manage executive calendars, including scheduling, coordination, and agenda preparation
- Ensure proactive follow-ups and reminders to maintain efficiency and readiness ahead of meetings
- Provide ongoing office administration and operational support
- Assist with basic bookkeeping and financial processes, including invoices, payments, expense tracking, and coordination with external accountants
- Maintain professional communication with international partners, vendors, and stakeholders in English
- Manage domestic and international travel arrangements, including logistics and detailed itineraries
Requirements:
- Proven experience in an administrative or executive assistant role
- Strong experience with calendar management and meeting coordination
- Experience with bookkeeping or financial administration
- Full professional proficiency in English and Hebrew (verbal and written)
- Exceptional organizational skills, attention to detail, and ability to manage multiple priorities
- Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment
Nice to Have:
- Experience in a startup or tech company environment
- Familiarity with bookkeeping tools and financial systems
- Experience working with AI tools and systems
