THE ROLE

✅ We are looking for a reliable Supply Chain & Amazon Logistics Specialist to join our Operations team. This is a hands-on specialist role, not a management position.

✅ A large part of the job involves structured, repetitive day-to-day and weekly tasks: creating shipping plans, checking documents and invoices, following up with suppliers and freight partners, handling Amazon cases, and keeping records accurate. The right person enjoys routine processes, consistency, and attention to detail.

✅ You will also resolve shipping and logistics issues as they arise, coordinate with partners in China and the US, and make sure shipments reach their destinations efficiently. Our systems and AI tools already support daily operations and will continue to play a larger role.

RESPONSIBILITIES

• Shipping plans: Create Amazon Send to Amazon plans and send them to freight forwarders. Track shipments from factory to Amazon, including cut-off, ETD, ETA and delivery.
• Forwarders and customs broker: Coordinate day to day with China forwarders and our US customs broker. Track ISF timing, customs exam holds and customs entry requests.
• Customs and tariffs: Maintain accurate HS codes, follow relevant US tariff changes and check that duties are charged correctly.
• Forwarder sourcing: Find and evaluate new freight forwarders, request quotes and compare them with our current partners.
• Freight cost control: Check forwarder and broker invoices against agreed quotes, request one invoice per shipment or warehouse, and compare forwarder pricing when needed.
• Amazon FBA issues: Open and follow cases for delayed receiving, missing labels and listing problems that block stock.
• Amazon reimbursements: Identify and claim reimbursement for units Amazon lost or damaged, and track claims through resolution.
• 3PL and international marketplaces: Send stock and resolve operational issues with our US 3PL (Red Stag Fulfillment), Amazon Canada, Amazon UK and Amazon Germany.

ADDITIONAL RESPONSIBILITIES

• Product data and compliance: Keep carton dimensions, weights, HS codes and compliance documents (FDA, Prop 65, certificates) accurate and current.
• Stock checks: Reconcile weekly stock across Exmachine, Amazon and the 3PL. Flag gaps and prepare restock plans based on the sales forecast.
• Exmachine data: Keep shipments, statuses and costs correct. Test new features and report bugs to the development team.
• Supplier payment invoices: Update supplier payment invoices in the system and make sure each one is linked to the right PO.
• Monthly cost reconciliation: Match forwarder and broker invoices to shipments for the accountant and keep landed-cost data current.

REQUIREMENTS (MUST HAVE)

• At least 2 years of hands-on Amazon FBA logistics experience, including Seller Central, shipping plans and cases.
• China imports: Experience working with freight forwarders and China import shipments, including LCL / FCL and sea freight documents.
• English: Excellent written and spoken English. This is a must: all daily work with suppliers, forwarders and Amazon is in English.
• Working style: Highly organized and accurate; comfortable with routine work and many small follow-ups.
• Tools: Good Excel or Google Sheets skills.

NICE TO HAVE

• Customs: Basic knowledge of US customs, including ISF, customs entry, HS codes and CBP exams.
• Other experience: Experience with a 3PL warehouse, Amazon Canada / UK / Germany or Amazon reimbursement claims.
• AI tools: Comfortable using AI tools to work faster.
