Billing Operations Specialist

Job Summary

We are looking for a detail-oriented and proactive Billing Operations Specialist to join our team. In this role, you will be responsible for managing the end-to-end billing process, ensuring accuracy, compliance, and timely invoicing. This position requires close collaboration with sales, customer success, and finance teams to ensure a seamless quote-to-cash cycle and an excellent customer experience.

Responsibilities:

• Own the customer invoicing process: issue accurate, timely invoices in line with contract terms and billing schedules (monthly, quarterly, annual).
• Maintain and update customer billing data, price changes, and contract terms in the billing system and CRM (e.g., HubSpot, Salesforce, Chargebee, NetSuite).
• Monitor and resolve billing discrepancies, credit memos, and customer disputes.
• Partner with the sales and legal teams to validate order forms and ensure correct setup of billing details.
• Support revenue recognition processes and ensure compliance with ASC 606 or local standards.
• Reconcile billing data with financial records and assist in month-end close.
• Manage collections follow-ups and collaborate with customers to resolve overdue payments.
• Assist in billing automation projects and improvements to support company growth and scale.
• Generate reports related to billing, AR aging, and customer payment status.
  
  

• 2+ years of experience in billing, AR, or finance operations in a SaaS, tech, or subscription-based environment.
• Strong attention to detail and organizational skills.
• Familiarity with billing platforms (e.g., Chargebee, Stripe, Zuora).
• Comfortable working with CRM and ERP systems.
• Strong Excel or Google Sheets skills.
• Excellent written and verbal communication in English.
• Ability to work cross-functionally and meet tight deadlines.
  
  

• Experience with ASC 606 or SaaS revenue recognition practices.
• Familiarity with quote-to-cash workflows.
• Exposure to tools like HubSpot, Salesforce, or Looker is a plus.
