Position Overview: As an Office Manager at Hypernative, you will play a crucial role in ensuring the smooth and efficient operation of our office. This role involves managing office supplies, handling bookkeeping tasks, overseeing customer billing, and providing essential HR support. The ideal candidate will be highly organized, detail-oriented, and thrive in a fast-paced, innovative environment.
Key Responsibilities:
- Office Operations: Oversee and maintain office supplies, including general office, HH, and IT supplies.
- Ensure the office environment is well-organized and functional.
- Coordinate with vendors and service providers to address any operational needs.
- Bookkeeping: Collaborate with the finance team by preparing and sending monthly invoices.
- Assist in managing accounts payable (AP) by ensuring timely processing of payments.
- Support the finance team with necessary documentation and information for financial record-keeping and report generation.
- Customer Billing: Generate and distribute monthly invoices to customers.
- Monitor and ensure timely processing of customer payments.
- Resolve any billing inquiries or discrepancies.
- HR Support: Assist with the onboarding process for new hires, including orientation and necessary paperwork.
- Facilitate a smooth and welcoming transition for new team members.
- Support HR initiatives and maintain up-to-date employee records.
Qualifications:
- Proven experience as an Office Manager, Administrative Assistant, or similar role.
- Strong organizational skills with exceptional attention to detail.
- Proficiency in digital tools and technology platforms (e.g., advanced knowledge of productivity software, collaboration tools, project management systems).
- Basic understanding of bookkeeping and accounting principles.
- Excellent communication and interpersonal skills.
- Ability to handle multiple tasks efficiently and thrive under pressure.
- High level of discretion and confidentiality.
- Minimum of 5 years of relevant experience in office management or administrative roles.
