Position Overview:
We are seeking a dynamic and highly organized Chief of Staff/Office Manager to join our core team at ai.work. This is a rare opportunity to join a very experienced team of entrepreneurs and have a front-row seat to building a business from the ground up. The role is split between administrative responsibilities, including managing KPIs, coordinating management meetings, handling office management tasks, and providing personal assistance to the CEO, and operational duties across project management, marketing, product and customer success as the company grows.
Key Responsibilities:
Administrative Support:
- Coordinate and manage the CEO’s main priorities, including projects, meetings, travel, and outreach.
- Organize and prepare for executive meetings and board meetings, including creating agendas, taking minutes, and following up on action items.
- Monitor company KPIs and ensure the team is on track with goals and deliverables.
- Oversee office management duties, including supplies, vendor relationships, and office related logistics.
- Assist with HR-related tasks such as onboarding, employee records, and maintaining a positive workplace culture.
- Assist with finance related operations including setting the company up for the next financing rounds.
Project Management & Operations:
- Serve as a key point of contact for cross-functional projects, ensuring timelines and deliverables are met.
- Assist with the development and execution of marketing initiatives, including content, social media management, strategy and event coordination.
- Support the Customer Success team in ensuring client satisfaction and success, including handling inquiries, troubleshooting, and maintaining client relationships.
- Act as a liaison between departments to ensure smooth communication and coordination as the company scales.
- Contribute to the development of company processes and systems that will support growth and scalability.
Qualifications:
- Bachelor’s degree (or equivalent experience).
- 2+ years of experience in a similar role, preferably in a startup or fast-paced environment.
- Proven ability to manage multiple projects simultaneously with a high level of attention to detail.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills, with the ability to work collaboratively across teams.
- Self-starter with a proactive attitude and the ability to anticipate needs and take initiative.
- Familiarity with project management tools and software is a plus.
