About the Role:
The Office Operations Specialist is a vital role in our organization, responsible
for ensuring the smooth functioning of day-to-day office operations and
providing comprehensive support to our operations team. The ideal
candidate will possess a strong ability to multitask, prioritize workflow, and
work both independently and as part of a team. This position requires a high
degree of professionalism, organizational skills, and the ability to
communicate effectively with staff, managers, and the executive team.
This is a hybrid role, working three (3) days a week from our office in Tel Aviv,
with some weeks requiring five (5) days in the office.
Requirements:
Qualifications:
Bachelor's degree in Business or related field.
Minimum 3 years of experience in office management or administrative support.
Strong organizational, multitasking, and prioritization skills.
Excellent communication skills in English, with the ability to articulate clearly and persuasively in both written and verbal forms. Proficiency in Hebrew is also required.
Proficient in Microsoft Office with expert-level skills in Excel and familiarity with other office management software.
Experience with ERP systems; proficiency in NetSuite is an advantage.
Open-minded and proactive, with a continuous improvement mindset and the ability to identify and implement innovative solutions to enhance operations.

Responsibilities:

Manage and maintain office inventory, including refreshments, supplies, equipment, and furniture, ensuring a well-organized and efficient workspace.
Oversee the procurement process for office supplies, equipment, and services, ensuring cost-effective purchasing and timely delivery.
Coordinate product logistics and sourcing, including inventory control, procurement of components, and international shipping, ensuring timely and cost-effective delivery of products.
Coordinate logistics for meetings, events, and office-related shipping tasks, including scheduling, setup, follow-up, and maintaining accurate records.
Oversee office cleanliness and maintenance, liaising with cleaning staff and service providers to ensure a clean and functional environment.
Handle administrative tasks such as filing, correspondence, data entry, and resolve issues promptly to support smooth operations.
Serve as the primary contact for visitors, providing a warm welcome and assistance as needed to ensure a positive experience.
Manage parking arrangements, including allocation and resolution of any parking-related issues, to ensure convenient access for employees and guests.
Oversee and manage travel arrangements for company employees, including booking flights, accommodations, and transportation, ensuring efficient and seamless travel experiences.
Demonstrate an open-minded approach and actively seek opportunities to improve operational efficiency and effectiveness.
