Role Description
This is a full-time on-site role responsible for managing administrative, operational, and financial activities to ensure smooth day-to-day office operations. The role includes executive support, office logistics, travel coordination, and financial administration (invoices and expenses).
Responsibilities:
Manage executive calendars, meetings, and communications to ensure effective time management
Oversee office administration, including supplies, facilities, and day-to-day operations
Coordinate travel arrangements and related expense reporting
Serve as the primary point of contact for calls, visitors, and general inquiries
Manage logistics, including deliveries, shipments, parking, and vendor coordination
Coordinate food orders and catering for meetings and company events
Oversee office and lab maintenance, repairs, and infrastructure to ensure a fully functional work environment
Manage the full invoice lifecycle, including collection, review, coding, and accurate record-keeping of all incoming and outgoing invoices
Coordinate supplier payments, including approvals, scheduling, and follow-ups to ensure timely and accurate processing
Support financial operations in collaboration with the accountant, including expense monitoring, reporting and budget tracking, and day-to-day banking activities such as credit card reconciliation and issue resolution.
Qualifications:
Bachelor’s degree or equivalent work experience
3+ years of experience in office management, operations, or administrative roles, preferably in a dynamic environment
Strong organizational and multitasking skills, with the ability to manage multiple priorities and meet deadlines
Experience with financial operations, including invoice management, expense tracking, and basic bookkeeping processes
Excellent communication skills, both written and verbal, with a professional and service-oriented approach
High attention to detail and accuracy, particularly in financial and administrative tasks
Ability to work independently, take initiative, and handle sensitive information with discretion
Experience coordinating vendors, logistics, and office operations
Strong problem-solving skills and ability to adapt in a fast-paced, evolving environment
Proficiency in Microsoft Office and Google Workspace; experience with financial/ERP systems is an advantage
Within the range, individual pay is determined by work location and additional factors, including, but not limited to, job-related skills, experience, and relevant education or training. If you are selected to move forward, the recruiting team will provide details specific to the factors above.
Employee may be required to lift routine office supplies and use office equipment. Majority of the work is performed in a desk/office environment; however, there may be exposure to high noise levels, fumes, and biohazard material in the laboratory environment. Ability to sit for extended periods of time.
