Key Responsibilities
What will you do?
Function as the main focal point for employees administrative questions and needs
Coordinate business travel end-to-end (flights, hotels, meeting rooms, car rental, cellphone packages, etc.)
Supporting CEO & C level scheduling and general tasks.
Manage office vendors and service providers (Food, cleaning service provider, office supplies, 10bis, parking, etc.)
Coordinate board meetings
Support external and internal meeting arrangements as needed (Conference rooms, refreshments, and meetings coordination).
Manage office supply budget, ensure accurate and timely reporting
Handle Mailing, Taxi orders, couriers, and voicemails.
Assist in the onboarding process for new hires
Take care of employees Birthdays, weddings, and birth gifts
Office Invoices management
Organize company Happy Hour
Support HR processes e.g., welfare activities, recruitment, and training, as needed.
What you need to succeed:
At least 2 year of experience as an administrative assistant/PA/office manager
Fluent English must.
Proficiency in MS Office and Gmail scheduling tools and calendar.
Previous experience managing multiple calendars advantage.
Excellent time management, multitasking, and prioritizing skills.
Details oriented and well organized.
Great team player, people person, high level of service orientation with a CAN DO approach.
A creative mind with an ability to suggest improvements.
Excellent written and verbal communication skills.
Availability of full-time position.
