PMO Specialist

Role Description Highly organized and experienced PMO to lead company-wide project planning, resource allocation, and capacity management across our Strategy, Research, Creative, Design, Video, Communications, and Production teams.

Responsibilities 

• Build, manage, and maintain organization-wide project plans and Gantt charts.
• Manage resource allocation and capacity planning across multiple teams, including Strategy, Research, Creative, Design, Video, Communications, and Production.
• Collaborate with Project Managers, team leads, and management to ensure alignment, resolve bottlenecks, and optimize resource utilization.
• Provide ongoing administrative and operational support. 
• Collect and analyze project data, providing management with clear status reports and visibility into project progress.
• Support project prioritization, scheduling, budgeting, and cross-functional planning across multiple projects and teams.
• Maintain accurate project and resource data in project management tools, ensuring it is regularly updated and accessible to relevant stakeholders.

Qualifications: 

• 2+ years of experience in a PMO role, with hands-on experience in resource planning, budgeting, and Gantt management – required.
• Strong proficiency in project management tools such as MS Project, Monday.com, or Jira, and advanced Excel skills.
• Bachelor’s degree in Industrial Engineering & Management or a related field – an advantage.
• Experience working with creative teams or in creative environments, including Design, Video, Production, or Communications – a significant advantage.
• Highly organized and analytical, with strong attention to detail, excellent communication skills, and the ability to confidently coordinate and align multiple teams.
• High level of English (written and spoken).
