Facilities Manager

About The Position

The Facilities Manager holds overall responsibility for the proper operation, maintenance, appearance, and safety of a 3-floors office building. As the single point of contact for all maintenance and service matters raised by the company's employees and managers, the Facilities Manager oversees the entire network of subcontractors and service providers connected to the building on a day-to-day basis. The role requires the ability to independently diagnose and resolve basic, routine issues, alongside managing, coordinating, and supervising external service contractors responsible for the building's more complex systems.

Responsibilities:

Preventive maintenance and day-to-day operations (independent work):

• Conduct a fixed daily walkthrough of all building floors, the parking garage, and common areas to identify hazards and faults.
• Perform minor repairs independently or with the help of vendors.
• Manage the service-request (ticketing) system, track issues on an ongoing basis, and resolve them quickly.
• Manage the inventory of consumable supplies (light bulbs, basic plumbing parts, maintenance materials).

Management, supervision, and coordination of external vendors:

• Manage the cleaning company-close supervision of common areas and floors, ensuring adherence to schedule and quality standards.
• Manage the security company, including the building's reception operation.
• Window cleaning — responsibility for cleaning all of the building's windows (a contractual obligation).
• Manage the transportation and shuttle services.
• Manage landscaping and gardening.
• Utility and infrastructure providers: electricity, water, and HVAC.
• Food — manage, in coordination with Employee Welfare, the ongoing food ordering for the kitchens.
• Coordinate and supervise external professionals for complex systems: central air conditioning, elevators, emergency generator, water pumps, and fire detection and suppression systems.
• Engage contractors for complex repairs (electrician, specialist plumber), obtain quotes, and supervise their on-site work through to satisfactory completion.

Safety, licensing, and compliance:

• Responsibility for the building's safety officer function.
• Manage the building's hazardous materials in accordance with regulations.
• Ensure the building's readiness for annual inspections (fire safety, local authority approval, elevator certifications).
• Keep escape routes clear and ensure emergency lighting and directional signage are functional.
• Maintain and document an organized "building log" containing all compliance certificates and periodic inspections.

• At least 3 years of experience in building/facilities maintenance (office buildings or commercial spaces preferred)-Must
• Experience working with subcontractors, including understanding quotes and supervising work-Must
• Ability to work fully independently and manage one's own time.
• Strong service orientation, excellent interpersonal skills, and pleasant communication.
• Technical background — able to independently diagnose and repair technical faults.
• Proficiency with computer applications.
• Willingness to respond to emergency call-outs (floods, power outages, elevator faults) outside regular working hours.

Preferred Qualifications (Bonus):

• Certification as a building maintenance manager / security officer / relevant technical courses.
• Certification or background in hazardous materials.
• Prior experience managing office buildings or commercial spaces.
