The Production Director serves as the “Architect of Execution,” defining and delivering the how behind each conference by transforming vision into operational reality. This role owns end-to-end conference operations, including infrastructure, AV and technical production, vendor management, regulatory compliance, and the design of event flow to ensure a safe, efficient, and high-quality attendee experience. The Production Director manages the production budget on a per-item basis and leads supplier negotiations, while protecting margins and maintaining quality. Through proactive risk management, on-site leadership, and post-event evaluation, the role ensures consistent execution excellence across complex conferences. You'll have real latitude to define how production runs across our portfolio, as part of a team already investing in the technology and systems that sit behind it.
Roles and Responsibilities
· Translate the clients’ vision into operational reality by designing and implementing the technical and physical components of the conference
· Serve as the operational lead for all conference logistics, owning planning, coordination (e.g., registration flow, transportation), on-site execution (e.g., session and exhibition operations, food and beverage), and social functions (e.g., welcome reception)
· Oversee all event infrastructure including staging, signage, and branded environments, ensuring every element is structurally sound, operationally viable, compliant, and aligned with the overall vision
· Lead audio-visual and technical production, ensuring seamless delivery across plenary sessions, breakouts, exhibition spaces, and social events
· Oversee presentation management, live streaming (if applicable), speaker slide collection, technical rehearsals, and on-site troubleshooting to ensure uninterrupted program flow
· Design and manage the physical flow of the event, including participant and speaker movement, session transitions, exhibitor traffic patterns, and social event layouts, to ensure a seamless, safe, and high-quality attendee experience
· Lead supplier negotiations and develop cost proposals, monitoring spend throughout the event lifecycle to protect margins while maintaining production quality
· Serve as the primary point of contact for production-related vendors, including AV; manage contractual execution, ensuring service delivery aligns with agreed-upon scope and timeline
· Own and manage the technical and production budget on a per-item basis, ensuring full cost transparency and financial control
· Identify and mitigate operational risks while managing safety protocols and regulatory compliance
· Gather operational feedback, contribute to post-event production debriefs, and implement continuous improvements to strengthen quality, efficiency, and consistency across future conferences
What we're looking for
· 5+ years in technical or production management within the conference or live events industry
· Proven experience in AV and technical production, staging, and vendor negotiation
· Strong budget management skills, with the ability to own costs and protect margins
· Demonstrated ability to lead on-site teams including freelance staff, volunteers, and technical crews
· Exceptional organizational skills, with the ability to manage multiple workstreams, stakeholders, and deliverables simultaneously across complex events
· Fluent in English
