About the Role
We are looking for a highly organized and proactive PMO / ERP Project Coordinator to support a fast-paced international NetSuite transformation program across Europe.
This role requires someone who thrives in a dynamic environment, can manage multiple priorities simultaneously, and is comfortable working with international teams and stakeholders in English on a daily basis.
This is not a purely administrative role. The successful candidate will take ownership of project coordination, drive follow-ups, track dependencies, and help ensure that actions and decisions are executed effectively.
The ideal candidate is exceptionally organized, detail-oriented, and enjoys
bringing structure and clarity to complex projects.
This is an on-site role only (no remote or hybrid work).
Key Responsibilities
Project Coordination & Governance
- Coordinate daily activities across multiple ERP workstreams
- Manage project schedules, meeting calendars, and cross-functional coordination
- Track action items, dependencies, risks, and blockers across workstreams
- Ensure task ownership and follow-up across internal teams and external vendors
- Maintain project tracking tools, governance standards, and reporting
Meeting Management
- Schedule and coordinate meetings across time zones and stakeholders
- Prepare agendas, document minutes, decisions, and action items
- Follow up on pending tasks and escalation points
- Maintain meeting recordings and documentation repositories
Project Knowledge & Communication
- Maintain project documentation in SharePoint / Teams: process docs, training materials, specifications, and testing evidence
- Centralize information from emails, Teams, and meetings; ensure stakeholders receive timely, accurate updates
- Liaise between business users, implementation partners, localization vendors, and technical teams
Required Qualifications
- 2+ years of experience in PMO, Project Coordination, or ERP project environments
- Exceptionally organized; able to manage multiple workstreams simultaneously
- Strong follow-up discipline and accountability - assertive without losing professionalism
- High attention to detail and process rigor
- Ability to separate the essential from the secondary and distill complexity into clear, actionable priorities
- Clear communicator across cross-functional and international teams
- Proactive, independent, and calm under pressure in fast-changing environments
- Fast learner with strong problem-solving instincts and ownership mentality
- Fluent English (spoken and written) - mandatory
Preferred Qualifications
- ERP project experience (NetSuite, SAP, Oracle, Priority, Dynamics, etc.), including rollout and post-go-live phases
- Proficiency in project management tools (Monday, Jira, ClickUp, Asana, MS Project, etc.)
- Experience applying AI tools to improve project efficiency (e.g., meeting summaries, documentation, reporting, or workflow automation)
- Proficiency with Microsoft Teams, SharePoint, and Excel
- Background in Finance, Supply Chain, Logistics, or Retail; fashion and distribution a plus
- Experience in multinational project environments
- Familiarity with structured project methodologies and governance
