INNOVA is seeking an organized, detail-oriented, and motivated Supply Chain Coordinator to support the company’s growing logistics operations and ensure smooth, accurate, and timely shipment coordination.
This role is critical in supporting both international and domestic logistics activity, coordinating and tracking shipments, and providing timely delivery updates to internal teams and customers. As operational volume continues to grow, this position will help strengthen workflow control, reduce delays, and support a high standard of service across the supply chain process.
The role requires strong attention to detail, good communication skills, the ability to manage multiple tasks at once, and a proactive approach to follow-up and problem-solving in a fast-paced operational environment.
Key Responsibilities
Shipment Coordination & Tracking:
• Coordinate international and domestic shipments, including air, ocean/container, and carrier-based deliveries.
• Support shipment booking, tracking, and follow-up with freight forwarders, carriers, warehouses, and internal teams.
• Communicate with carriers and logistics partners to ensure shipment progress and timely delivery.
• Monitor shipment status and proactively follow up on delays, missing information, or delivery issues.
• Provide clear and timely delivery updates to internal teams and customers as needed.
Order Fulfillment & System Updates:
• Support accurate order fulfillment by managing shipping workflows across CRM, UPS, warehouse, and inventory systems.
• Update CRM records, shipment statuses, and related operational information.
• Coordinate packing requests and ensure warehouse teams receive clear and accurate instructions.
• Maintaining visibility over open shipments, pending deliveries, and unresolved logistics tasks.
Freight Documentation & Billing Support
• Prepare and manage freight documentation, commercial invoices, packing requests, and related shipping records.
• Maintain organized records of shipping documents, invoices, tracking details, and carrier communication.
• Support billing updates and ensure logistics-related records are accurate and complete.
• Review logistics records to identify missing documentation, incorrect information, or process gaps.
Cross-Functional Communication
• Work closely with the Supply Chain team, Customer Service, Sales, and Finance teams, along with International and domestic forwarding agents, to support smooth shipment execution.
• Escalate shipment delays, inventory discrepancies, or documentation issues in a timely manner.
• Provide clear updates to support internal alignment and customer satisfaction.
• Help improve workflow visibility and reduce operational delays as shipment volume increases.
Requirements
• Entry-level position, suitable for candidates with 0–2 years of experience in logistics, operations, supply chain, or administrative coordination.
• Strong organizational skills and attention to detail.
• Ability to manage multiple tasks, follow up consistently, and work under time-sensitive conditions.
• Good written and verbal communication skills.
• Comfortable working with systems such as CRM, warehouse systems, shipping and inventory platforms, or similar tools.
• Ability to work independently while collaborating closely with internal teams.
• Strong sense of responsibility and willingness to learn logistics processes in a fast-paced environment.
• Previous experience with freight, shipping, inventory, order fulfillment, or logistics documentation is an advantage but not required.
Success in This Role:
• Shipments are booked, tracked, and coordinated accurately and on time.
• CRM, inventory, billing, and warehouse systems are updated clearly and consistently.
• Internal teams and customers receive timely and accurate delivery updates.
• Freight documentation, commercial invoices, and shipping records are complete and organized.
• Operational delays, missing information, and shipment issues are identified and escalated quickly.
• The logistics workflow remains organized, efficient, and reliable as company volume continues to grow.
