HR & Office Operations Manager
Part-time (3 days) · Israel
About the role
We're a fintech startup operating in emerging markets, currently in stealth mode and fresh off our Series A. We move fast, and the ground under us keeps shifting — which is exactly what makes this role interesting.
We're looking for an Operations Manager to be the person who makes the local company run. You'll be the operational backbone across four areas: office and facilities, payroll coordination with our external provider, special-project execution for the C-suite, and day-to-day people operations. It's a genuine generalist role — the kind where no two weeks look the same, and where getting things done matters more than titles or process.
This is a high-visibility role. You'll work directly with the local founder, executives, and team, and have real influence on how we scale from here.
What you'll own
Office & workplace operations
- Run day-to-day office operations — vendors, supplies, facilities, IT logistics, and the small hundred things that keep an office functional.
- Own the office experience: how it feels to walk in, where people sit, how guests are received, and how team events come together.
- Manage relationships with landlords, service providers, and suppliers; negotiate contracts and keep costs sensible.
- Plan and execute internal events, off-sites, and team gatherings.
Payroll coordination
- Serve as the main point of contact for our external payroll provider; own the monthly cycle end-to-end.
- Collect, verify, and submit payroll inputs — new hires, terminations, bonuses, expenses, time-off balances, benefit changes.
- Review payroll reports for accuracy before execution; catch issues before they become problems.
- Be the first line of response for employee payroll questions.
Executive support & special projects
- Drive special projects for the local leadership from scoping through delivery — cross-functional, often ambiguous, usually time-sensitive.
- Prepare leadership off-sites; own the logistics so executives can focus on the content.
- Provide targeted executive assistance: complex travel, calendar triage on high-stakes weeks, and preparation for external meetings.
People operations
- Run onboarding and offboarding so new hires feel welcomed, and leavers exit cleanly.
- Maintain employee records, contracts, and HR documentation — accurate, organized, and audit-ready.
- Coordinate benefits administration and employee perks.
- Support recruitment logistics: scheduling interviews, managing candidate communication, and handling offer paperwork.
- Help build and keep alive the small rituals that make a team feel like one — birthdays, milestones, welcome moments.
What we're looking for
- 3–5 years in operations, executive assistance, office management, or people ops — ideally at a startup or other fast-moving environment.
- A track record of owning things end-to-end. You don't need a playbook handed to you; you build one.
- Sharp organizational skills and genuinely close attention to detail. People trust you with things that matter.
- Comfort with ambiguity. You're energized by changing priorities rather than thrown by them.
- Strong judgment on confidentiality. You'll see sensitive information — legal, financial, personal — daily.
- Excellent written and verbal communication in Hebrew and English.
- Fluency with standard productivity tools (Google Workspace, Slack, project management platforms) and quick to pick up new ones.
- Comfortable using AI tools such as Chat GPT, Claude, and similar.
Bonus points
- Previous experience in fintech, financial services, or a regulated industry.
- Familiarity with Israeli payroll, employment law, and standard HR practices.
- Experience supporting C-level executives or a founding team.
- Exposure to scaling operations from ~10 to ~20+ people.
