Position Description:
We are seeking an experienced and highly skilled Import-Export & Order Management Manager to take full ownership of the company’s international trade operations and end-to-end order management processes.
This role requires a subject-matter expert in import/export regulations and practices, combined with strong operational capabilities in managing the entire order lifecycle—from order intake through delivery, invoicing, and closure.
The ideal candidate will take ownership of leading and continuously improving all import, export, and order management processes, ensuring they are executed efficiently, accurately, and in full compliance with regulatory and operational requirements.
Key Responsibilities:
Order Management (End-to-End Ownership):
- Take full responsibility for end-to-end order management processes, including order entry, confirmation, fulfillment, shipment, invoicing, and closure.
- Monitor and manage order status, identify delays or discrepancies
- Coordinate closely with internal teams: Operations, Procurement, Production, Engineering, and Finance.
- Ensure high service levels and continuous communication with customers throughout the order lifecycle.
- Manage returns processes, including returned export shipments and related operational and regulatory handling.
Import & Export Management (Expert Level):
- Lead and manage all import and export activities, ensuring full compliance with international trade laws and local regulations.
- Handle and oversee import licensing processes, including application, tracking, and approvals.
- Work extensively with Global Gate (Sha'ar Olami) systems and other relevant trade platforms.
- Prepare and control all required documentation: commercial invoices, packing lists, certificates of origin, permits, and regulatory approvals.
- Handle Carnet applications and exhibition shipments, including temporary imports/exports.
- Coordinate with freight forwarders, customs brokers, suppliers, and international customers.
- Ensure compliance with Incoterms, customs regulations, and trade agreements.
Sales and Finance Coordination:
- Issue invoices, generate delivery notes, and maintain accurate order records in the system.
- Manage customer collections and follow up on outstanding payments in coordination with the Finance department.
- Monitor open orders, analyze gaps between orders, shipments, and billing, and resolve discrepancies.
- Support pricing, quotations, and commercial aspects in coordination with Sales teams.
- Ensure proper documentation and compliance with internal financial and operational procedures.
- Monitoring, approving and handling LC’s (אשראי דוקומנטרי)
Required Qualifications:
- Proven expertise in Import-Export operations – mandatory (hands-on, end-to-end).
- Strong experience in full Order Management processes – mandatory.
- In-depth knowledge of international trade regulations, customs processes, Incoterms, and shipping documentation.
- Full professional proficiency in English (written and spoken) – mandatory.
- Experience with ERP systems (Priority – advantage).
- High level of organization, accuracy, and ability to manage multiple processes simultaneously.
- Strong communication and cross-functional collaboration skills.
