A leading drone company based in Ashkelon, specializing in the development and manufacturing of UAV systems, is seeking a highly organized and proactive Executive Coordinator to join its managment team.
Job Description
Serve as a central administrative function supporting executive management through coordination, organization, and ongoing management of tasks, interfaces, and schedules.
The role focuses on creating organizational structure, ensuring smooth day-to-day operations, and enabling effective decision-making.
This is an 80% position, based at the company’s offices in Ashkelon.
What You’ll Do
Executive Administrative Management
Manage executives’ calendars, coordinate multi-participant meetings, prioritize leadership time, and maintain ongoing scheduling.
Executive Meetings & Forums Coordination
Prepare agendas, consolidate materials, document meetings, and distribute summaries.
Administrative Follow-up on Tasks
Track tasks and management decisions at an operational level, ensuring progress and closure with relevant stakeholders.
Cross-Functional Coordination
Work closely with company departments to collect information, coordinate activities, and ensure alignment across teams.
Document & Executive Information Management
Organize and maintain documents, presentations, and executive materials.
Management Data Coordination
Consolidate and maintain up-to-date customer order data and relevant operational data to support accurate reporting and decision-making.
International Travel Coordination
Plan and coordinate business travel for executives, including flights, accommodations, meeting schedules, preparation of materials, and administrative support before and during travel.
Customer & Partner Visit Management
Coordinate on-site visits, including agenda planning, meeting coordination, logistics (meeting rooms, catering, materials), and hosting.
Ongoing Administrative Support to CEO & Management
Provide support on ad hoc tasks as needed, including operational and organizational matters.
Requirements
- Bachelor’s degree in Business Administration, Management, or a related field – an advantage
- Proven experience in an administrative / executive assistant / office management role
- Experience working with senior management – strong advantage
- Strong organizational skills and ability to manage multiple tasks simultaneously
- Full proficiency in Microsoft Office
- Ability to work with multiple stakeholders across the organization
- High level of accuracy and attention to detail
- Excellent English skills
