Procurement Operations Specialist (Junior)

As we continue to scale our hardware and operations footprint globally, we are expanding our Operations team and looking for a detail-oriented, execution-driven Junior Procurement Operations Specialist to support our end-to-end supply and vendor workflows.

At Hoopo, you’ll work closely with Operations and Engineering teams, engage daily with global suppliers, and play a key role in ensuring our products move smoothly from planning to delivery.

Overview

This is a hands-on, execution-focused role supporting Hoopo’s procurement and operations activities across multiple geographies.

You will own day-to-day procurement workflows, ensure data accuracy, track orders and deliveries, and help identify and mitigate supply risks — all while working closely with internal stakeholders to support production schedules and operational goals.

This role is ideal for a student or early-career professional looking to gain practical experience in supply chain, operations, and procurement within a high-growth technology company.

Job requirements

• Education - Student or graduate in Industrial Engineering, Business Administration, Economics, Supply Chain, or Information Systems etc.
• Availability - Students: Available 2-4 days per week, with flexibility around exam periods.
• Execution & Ownership - Strong sense of responsibility and ability to operate in a fast-paced, constantly changing environment.
• Analytical Skills - High attention to detail, strong proficiency in Excel / Google Sheets.
• Advantage: VLOOKUP, Pivot Tables, advanced formulas.
• Communication and fluent English (written and spoken) for professional correspondence with global vendors.
• Technical Aptitude - Fast learner of new systems, comfortable working with structured data and operational tools.

Job responsibilities

As a Junior Procurement Operations Specialist, you will support and own critical operational processes, including:

• End-to-End Procurement Execution - Manage the full procurement lifecycle: RFQ → Purchase Order → Supplier follow-up → Delivery → Receiving.
• Purchase Order Management - Open, track, and validate POs, ensuring accuracy in pricing, lead times, quantities, and availability.
• Global Vendor Communication - Serve as a daily point of contact for international suppliers and subcontractors to ensure alignment and accountability.
• Logistics & Delivery Tracking - Monitor supply status, shipment progress, and critical milestones to proactively prevent bottlenecks.
• Data Integrity & Reporting - Maintain clean, accurate, and up-to-date procurement data within ERP systems and internal tracking tools.
• Risk Monitoring & Mitigation - Support identification of supply risks (delays, shortages, constraints) and assist in sourcing alternatives when needed.
• Process Optimization - Help automate and improve procurement workflows through advanced reports, trackers, and dashboards.
• Cross-Functional Collaboration - Work closely with Operations and Engineering teams to align procurement activities with production schedules and priorities.
