Sales Order Fulfillment Coordinator

Role Overview

EDEN House of Art is seeking a Sales Order Fulfillment Coordinator to join our dynamic Logistics team. This role sits at the strategic crossroads of all company departments—sales, operations, logistics, finance, and marketing—and is essential to ensuring a seamless, premium experience to our distinguished collectors worldwide, through operational excellence.

You will be involved in orchestrating the complete lifecycle of an order, from initial sale confirmation through final delivery, ensuring accuracy, efficiency, and exceptional service standards. This is a high-impact operational role that directly contributes to our collector satisfaction and the gallery's operational excellence.

Key Responsibilities

Order Management & Coordination

• Manage and follow up on sales orders from Collector confirmation through final delivery, ensuring all steps are completed accurately and on schedule
• Enter and maintain accurate, detailed data in ERP and CRM systems for all transactions, shipments, and collector interactions
• Ensure that the Artwork delivery is prepared, packed, shipped and delivered following the Company’s guidelines.

Logistics & Fulfillment Coordination

• Manage stock reservation, coordinate logistics movements between warehouses and galleries worldwide, on time, to ensure meeting the collector’s expectations and the company’s standards.
• Schedule and track artwork pickups, deliveries, and installations, ensuring alignment with collector expectations and internal deadlines
• Support international, time-sensitive projects, including art fair logistics and exhibition shipments

Issue Resolution & Quality Control

• Track and proactively resolve shipping issues, including replacement artworks, delays, damages, discrepancies, and customs challenges
• Act as the primary point of contact for order status inquiries from sales teams
• Escalate complex situations appropriately while maintaining ownership through resolution
• Conduct regular follow-ups to ensure collector satisfaction post-delivery

Cross-Functional Collaboration

• Work closely with Sales, Finance, local & global Logistics teams, Marketing, and external partners to ensure seamless communication and execution
• Serve as a liaison between departments to streamline processes and resolve bottlenecks in regards to the Order Fulfillment process
• Provide sales teams with accurate delivery timelines, shipping quotes, and logistics updates
• Support marketing initiatives requiring artwork movement for photoshoots, exhibitions, and events
  

Required Qualifications

Experience:

• Experience in fulfillment, operations, logistics, or sales coordination (art or luxury industry is a plus)
• Proven track record of managing complex, multi-step processes with accuracy

Technical Skills:

• Familiarity with ERP systems (Priority experience is a strong advantage)
• Experience with CRM platforms (Salesforce or similar systems)
• Proficiency in Microsoft Excel, Google Sheets, and digital documentation tools
• Comfortable learning new systems and adapting to technology updates

Language Requirements:

• Fluency in English is required (MANDATORY)
• Fluency in French is a strong advantage
