Job Description
The Iowa Judicial Branch, in the Pottawattamie County in the Fourth Judicial District, seeks applicants for a Judicial Operations Coordinator to perform scheduling duties and judicial officer support for efficient court operations and the integrity of court records.
This position will coordinate trial scheduling conferences with case parties and set hearings based on availability of judges and courtrooms for all nine counties in District 4; will update multiple judges’ schedules and calendars according to scheduled hearings, and will ensure interpreters are obtained for hearings. This position is a liaison between judicial officers and case parties to ensure case flow is maintained, and requires handling emails, phone calls and filings prior to judge review of the case and hearings, as well as ensuring readiness of courtroom setup, technology and Zoom software. It will require support to the judges and case parties during court sessions, as well as during jury trials. The position will review and process filings as they enter the Court Administration queue in Case Management, and it will track and review timelines on cases to ensure cases are flowing in accordance with the Code of Iowa and Iowa Court Rules. It will require reports to be generated and checked daily, weekly, monthly and yearly to ensure case flow is accurate and nothing is missed. The position requires impartial assistance to all court patrons, co-workers and attorneys regarding court cases, schedules and procedures.
The successful candidate will be able to learn and navigate court record-specific computer programs and technology and have problem-solving skills. This position will have the ability to professionally communicate with a variety of court users – in person, on the phone, and via email. The successful candidate will have keen attention to detail to maintain the accuracy and integrity of court records and be able to prioritize work and meet deadlines. This position may occasionally travel to other counties within the judicial district.

Summary
Coordinate services necessary for courtroom operations and court users. Perform customer
service, non-routine, and complex court procedure tasks for efficient court operations.
Examples Of Duties And Responsibilities
Provide customer service by responding to inquiries from the general public, attorneys, judicial officers, and court employees.
Arrange, assist, and record interpreter services.
Coordinate resources, equipment, services, and ADA accommodations for court users.
Manage case scheduling and prepare courtroom operations.
Provide judicial officer assistance in the preparation of orders, rulings, memoranda, correspondence, etc., as needed.
Examine court documents, orders, files, and related material for completeness and accuracy.
Administer bookkeeping or basic accounting compliance tasks, such as reconciliation or reports to assure audit compliance.
Assist in courtroom preparations such as court attendant services, jury management, and administration.
Other duties as assigned.

This is a non-merit position with the Iowa Judicial Branch. Candidates must follow the instructions in the "To Apply" section.
Positions in this class are exempt from the screening and referral requirements of the Iowa Department of Administrative Services - Human Resources Enterprise.
Minimum Qualification Requirements
The incumbent must meet the minimum requirements to qualify for the position.
- High school diploma (or high school equivalency diploma)
- One (1) year of professional office experience in business support, court, legal support, or a related area.
- One (1) year of experience in customer service.

- Experience with court or legal process or terminology.
- Experience with accurate record keeping.
- Two (2) years of experience in a leadership role.
This position is covered by a Collective Bargaining Agreement (CBA) with American Federation of State, County, and Municipal Employees, Iowa Council 61, AFL-CIO (AFSCME).
