The Finance and Administration Associate will play a key role in supporting the organization’s financial and administrative operations, ensuring the smooth management of day-to-day financial processes, vendor and client transactions, reporting, and other operational functions that sustain the organization’s work across its U.S. and Israeli entities.
The ideal candidate is highly organized, detail-oriented, and proactive, with strong financial and administrative skills.
This full-time, in-person position is based in our Jerusalem office and reports to the Vice President, Finance and Administration.
CORE RESPONSIBILITIES
Accounts Payable (50%)
• Manage accounts payable processes, including vendor payments, staff reimbursements, and credit card reconciliations for both U.S. and Israeli entities.
• Oversee vendor agreements and payment schedules to ensure accuracy, timeliness, and compliance with internal procedures.
• Maintain up-to-date financial records and support the preparation of expense and budget reports.
Accounts Receivable (30%)
• Manage accounts receivable processes across U.S. and Israeli entities, including invoicing, tuition payments, and incoming contributions.
• Track and follow up on client and program payments to ensure timely collection and accurate reporting.
• Maintain accurate records and coordinate with relevant staff to support financial reporting and audits.
Additional Responsibilities (20%)
• Provide comprehensive support to the VP, Finance and Administration, across all finance- and administration-related tasks.
• Update and maintain quarterly cash flow projections.
• Assist in preparing materials for both U.S. and Israel financial audits.
• Coordinate with U.S. and Israeli bookkeepers as needed.
• Manage staff tracking systems, including the collection of monthly timesheets and the maintenance of vacation and professional development records.
• Support the administrative needs of the Israel-based office as required.
REQUIRED SKILLS AND QUALIFICATIONS
• Strong command of Microsoft Excel (required); experience with QuickBooks is an advantage.
• Learned and applied experience in bookkeeping and accounting processes, including accounts payable and receivable.
• High proficiency with general office and collaboration software (Microsoft Office, Google Workspace, Monday.com, etc.).
• Strong organizational and financial management skills with a high level of accuracy and attention to detail.
• Excellent written and verbal communication skills in English (mother tongue level) and comfortable fluency in Hebrew.
• Strong time management and multitasking abilities; able to meet deadlines while managing multiple priorities.
• Proactive, reliable, and resourceful, with the ability to anticipate needs and take initiative.
• Demonstrated integrity and discretion in handling confidential financial information.
POSITION DETAILS
• The office policy is that Jerusalem-based team members are present in the office in Talpiot, Jerusalem, 5 days a week.
• This is a full-time position starting January 5, 2026, with standard work hours of 9:00-17:00 from Sunday to Thursday.
