We are seeking a highly organized and proactive Team Assistant to the security groups at Nebius. The role provides direct support in managing operational, administrative, and coordination tasks that enable the Security Organization to operate efficiently. The assistant will be responsible for managing logistics, owning key support processes, and serving as a liaison for internal and external stakeholders.
Key Responsibilities
Team Support & Events
- Plan, organize, and coordinate team events, offsites, and workshops.
- Manage logistics for team flights, travel, and accommodations, ensuring cost efficiency and alignment with company policies.
- Support team engagement activities that foster collaboration and culture.
Process Ownership
- Own and drive procurement processes within the Security Organization (e.g., vendor onboarding, purchase requests, approvals, renewals).
- Own additional process to be later defined.
External Relations & Event Management
- Manage external connections with vendors, partners, and key industry contacts.
- Support coordination of conferences, industry events, and strategic meetings involving the Security Organization.
- Act as a point of contact for scheduling, follow-ups, and ensuring high-quality engagement.
Administrative & Executive Support
- Prepare briefing materials, agendas, and documentation ahead of major meetings.
- Handle sensitive information with confidentiality and discretion.
Qualifications
- Proven experience as a Personal Assistant, Executive Assistant, or Operations Coordinator (experience supporting C-level executives preferred).
- Strong organizational and time-management skills, with the ability to handle multiple tasks in parallel.
- Experience with procurement or vendor management processes.
- Excellent written and verbal communication skills in both English and Hebrew.
- Ability to work independently, exercise judgment, and maintain confidentiality.
