Position: Office Manager
Reports to: CEO, The Academy for the Evolution of Consciousness Ltd.
Location: Tel Aviv, Israel (on-site)
Employment Type: Full-time (Sun–Thu, 09:00–18:00; after-hours availability required)
What We’re Looking For
We seek an experienced, highly organized, and analytically minded Office Manager to oversee operational, financial, and cross-departmental coordination processes in an international organization. This role requires a blend of exceptional management skills, system proficiency, and discretion in handling sensitive matters.
Skills & Education
Education:
- A bachelor’s degree in Business Administration, Finance, or a related field is a requirement.
- A master’s degree or professional certifications are an advantage.
Technical Proficiency:
- Proven expertise in Microsoft Excel (pivot tables, advanced formulas, modeling) and Google Workspace.
- Demonstrated experience with advanced project management tools (Monday.com, Asana).
- Proven experience with invoice tracking systems.
- Strong ability to prepare reports, dashboards, and presentations.
Languages:
- Full professional proficiency in Hebrew and English, including business writing, translation, and professional communication.
Experience:
- 3–5 years of experience managing an office in a private limited company (Ltd.) in Israel, including financial operations or coordination.
- Proven track record in monthly closings, managing corporate bank accounts, vendors, payments, client collections, and budget tracking.
- Experience working in complex, international, or multi-entity organizations is a significant advantage.
Responsibilities:
Operations & Workflow Management:
- Lead operational processes and workflows with attention to accuracy and high standards.
- Coordinate across internal teams (Tel Aviv office, Studio, Home) and global partners.
- Develop and maintain organization-wide systems, templates, and workflows.
Finance & Reporting (with CPA firm coordination):
- Manage company accounts, reconciliations, payroll preparation, and payment processes with the CPA firm.
- Prepare monthly, quarterly, and annual reports; support audits; coordinate with authorities.
- Monitor KPIs, budgets, and forecasts; provide actionable insights.
Project & Process Management:
- Plan, execute, and monitor operational and administrative projects (Gantt charts, dashboards, status reports).
- Improve processes to manage resources and deliver high-quality services.
- Implement new technologies and tools to support organizational growth.
Executive Support:
- Support the CEO’s complex calendar, including sensitive personal matters, health logistics, and integrating private and professional commitments.
- Assist in decision-making with accurate data summaries; prepare meeting agendas and track task status across interfaces in Israel and abroad.
Event & Travel Coordination:
- Plan logistics for executive meetings, workshops, and high-level events.

- Excellent interpersonal skills; ability to lead processes and influence teams.
