Ask-AI is growing rapidly, and we’re seeking a responsible, creative, and ambitious Operations Manager. In this role, you will optimize Ask-AI's day-to-day operational functions. The ideal candidate will possess a combination of organization, strong self-management skills, process optimization expertise, and the ability to drive change within a fast-paced environment.

Responsibilities:

Financial Operations

• Oversee daily financial operations, including accounts payable/receivable.
• Manage invoice collection and ensure timely vendor payments.
• Oversee payroll processing and ensure accuracy and compliance with legal standards
• Administer and track stock option plan processes.
• Collaborate with the external CFO as a service vendor on all the financial operations aspects (payroll, vendor payments, audit, reports, cash management)
• Issue and track customers’ invoices and payment processes.
  
  

• Manage day-to-day office operations, including workspace allocation, supplies, and vendor management.
• Develop and enforce office policies and ensure compliance with health, safety, and operational regulations.
• Support employee productivity and satisfaction by creating a well-equipped and organized workplace environment.
  
  

• Manage relationships with IT vendors, ensuring service agreements and technology tools meet operational needs.
• Ensure data security and compliance with IT policies, safeguarding against cyber threats and system vulnerabilities.
  
  

• Lead regular security audits and ensure compliance with regulatory standards.
• Oversee physical and digital security systems, including access control, surveillance, and incident response.
• Respond to and manage security breaches, emergencies, or other operational risks.
• Partner with external security vendors to ensure up-to-date measures are in place.
  
  

• 3+ years of experience as an Operations Manager.
• Proven experience in financial operations and company operations.
• Self-motivated and capable of independently managing complex projects with limited resources and competing priorities, while effectively driving company-wide strategic efforts.
• Strong execution person with a “can do” approach.
• Strong problem-solving and project management skills, focusing on addressing complex issues.
• Excellent interpersonal skills and a team-oriented mindset are essential for achieving objectives.
• Able to promote and drive collaboration among diverse groups, including external vendors.
