Job Description:
We are seeking an Office & Project Manager for a significant, six-month temporary position to cover maternity leave. This is a dual-role position, combining the day-to-day management of the office with project management support, utilizing technological tools and AI. There is a possibility of extending the contract or transitioning to a different role within the company for the right candidate. Key responsibilities include:
- Administrative Management: Handling all administrative aspects of the office, including employee welfare, ordering equipment, managing calendars, answering phones, data entry, and general office maintenance.
- Financial Administration: Managing invoices, receipts, and collections from clients, tracking company expenses and revenues, and preparing materials for our accounting department.
- Project Management Support: Tracking project progress using designated tools, assisting managers with task and timeline management, and generating progress reports and updates for clients.
- Implementing New Technologies: Integrating and utilizing AI tools (such as ChatGPT) and basic
- automations to streamline administrative processes, draft documents, and improve overall office efficiency.
Requirements:
- Relevant Experience: At least two years of experience in a similar role.
- Advanced Technological Understanding: Proven experience and familiarity with generative AI tools like ChatGPT, along with an understanding of basic automations.
- Proficiency in English: Mandatory.
- Interpersonal Skills: Excellent communication skills, the ability to work independently, manage multiple tasks, and work under pressure.
- Prior Experience: A significant advantage for candidates with prior experience in a technological environment or with project management systems (e.g., Asana, Monday, ClickUp).
