Position Overview
The Executive Assistant and Office Administrator will provide dedicated support to a team of professionals and will assist in all areas of the in-office experience. This role will involve the traditional calendar, travel, and meeting management duties, in addition to managing a variety of office experiences. This role will report to the Head of the Israeli office.
Responsibilities
- Calendar and expense management for a group of professionals
- Responsible for travel arrangements and managing complex itineraries
- Arrange and coordinate meetings, venues, vendor management, room setup, prepare materials and arrange necessary audio/visual equipment
- Assist with orchestrating PSG events including but not limited to: conferences, visits, parties
- Complete any ad hoc admin or project work as requested by team members
- Welcome visitors, offer beverages, and maintain conference room appearance
- Handling all office operations including kitchen and supplies ordering, phone reception and coverage, and coordinating all incoming/outgoing shipping and mailings
- Assist with the management of vendor relationships
- Ensuring the office common areas are neat and tidy, ensuring the fridges are well stocked and are cleaned out when needed, and keeping the supply area organized.
- Provide administrative support for team members such as primarily expense entry into Workday
Ideal Experience and Competencies
The successful candidate will have an exceptional track record and reputation. Given the significant responsibilities of this position, the top candidate will be a mature, experienced individual.
- At least 5 years' experience as an executive assistant and/or in the service or hospitality industries
- Team player mentality: gives importance to group goals and participates accordingly; ability to work independently but also have an energetic, responsive, “one team” mentality
- Demonstrates customer service experience, extremely personable, outgoing and courteous, professional demeanor and appearance at all times; punctuality is a must
- Is adaptable and flexible: can manage and prioritize many conflicting priorities; adjust accordingly and design a suitable workflow
- Is humble and has no ego: demonstrates a positive attitude, irrespective of the nature of work; exhibits poise, professionalism, and discretion
- Demonstrates tact / judgement: sound decision making and fair judgement skills; refers to appropriate “chain of command” when necessary; able to take initiative, prioritize, and manage multiple projects
- Strong attention to details; highly organized, and excellent time management skills
- Excellent communication skills: clear verbal and written communication; responds to stakeholders in a timely / professional manner; ability to fluently communicate in both English and Hebrew (written and verbal)
- Software application enthusiast: has the bility to learn and work with different enterprise software (such as Monday, Workday, Airtable)
