Responsibilities:
- Daily administrative operations
- Coordinate daily administrative affairs of overseas offices, including document management, conference organization (booking venues, equipment debugging, meeting minutes), office supplies procurement and inventory management.
- Maintain the company's archive system, ensure document compliance and confidentiality, and handle document sending and receiving and translation needs.
- Logistics and facilities management
- Responsible for the maintenance of overseas office premises, including cleaning, safety, equipment maintenance, management of dormitories, canteens, vehicle dispatch and other logistics support.
- Asset management (such as fixed asset registration, maintenance and scrapping) and cost control (optimization of administrative expenses such as travel and communications).
- Human Resources Support
- Assist employees with entry and exit procedures, social insurance and provident fund management, attendance statistics and salary accounting assistance.
- Coordinate employee visa processing, air ticket booking and daily management of overseas personnel, and handle employee relationship issues in cross-cultural communication.
- Compliance and risk management
- Ensure that overseas business complies with local laws and regulations, and handle compliance matters such as visas, insurance, and tax declarations.
- Develop crisis response plans (such as emergency response, security risk assessment) to ensure the safety of company assets and personnel.
- Cross-departmental and external collaboration
- Connect headquarters and overseas branches, coordinate resources of supply chain, finance and other departments, and maintain relationships with suppliers, customers and government agencies.
- Organize company activities (such as celebrations, team building, customer reception) to enhance corporate image and employee cohesion.
- Strategic support and project management
- Participate in overseas business development support, such as market research, policy analysis report writing, and assist in formulating localized operation strategies.
- Promote administrative process optimization, lead administrative team building and training, and improve service efficiency.
