We are looking for an exceptional People & Operations Manager to take on a pivotal role in ensuring the seamless day-to-day operations of our company while fostering a thriving, people-first workplace culture. This role combines executive support, office management, and HR leadership, making it an exciting opportunity for someone who thrives in a dynamic, fast-paced environment.
As the right hand to the CEO and to the Head of HR a key figure in shaping employee experience, you will lead operations, enhance workplace engagement, and drive organizational efficiency, ensuring our company operates at its highest potential.
Key Responsibilities
Office & Operations Management
- Take full ownership of office operations, ensuring a smooth and inspiring work environment.
- Manage relationships with vendors, suppliers, and service providers.
- Organize company events, team-building activities, and employee appreciation initiatives.
- Ensure the workplace remains a hub of efficiency, innovation, and collaboration.
- Serve as the CEO’s operational backbone, managing a complex and fast-moving schedule.
- Handle high-priority projects, ensuring execution aligns with business objectives.
- Oversee travel arrangements, executive meetings, and special projects to maximize efficiency.
- Ensure seamless communication between teams, departments, and leadership.
- Proactively manage challenges, including last-minute changes, tight deadlines, and complex scheduling conflicts.
- Take the lead in resolving emergencies and critical issues, ensuring minimal disruption to the CEO and the team.
- Own the employee experience, ensuring a positive, inclusive, and high-performance culture.
- Lead onboarding & offboarding processes both strategically and operationally, ensuring smooth transitions for new hires and departing employees.
- Assist in employee engagement programs, including performance management and well-being initiatives.
- Act as a trusted partner to the leadership team, providing guidance on workplace policies and best practices.
Required Qualifications:
- Minimum 3+ years in a similar or equivalent role, specializing in administration, operations, and HR, preferably in fintech, startups, or high-tech industries.
- Expert in managing Outlook calendars and coordinating large-scale, multi-participant meetings.
- Proven Stability & Commitment: A track record of long-term contributions in previous roles, demonstrating reliability and dedication to growing within an organization.
- Operational Mastery: Strong organizational skills, problem-solving abilities, and a proactive approach to workplace efficiency.
- Fluent in English (additional languages are a plus).
- Interest and experience with AI-powered systems to optimize workflows and efficiency
- Proven ability to multitask and manage competing priorities effectively.
