Looking for a challenging and dynamic role in a professional environment?
A private investment fund is seeking an experienced Office Manager to handle office operations, executive support, team welfare, calendar coordination, and guest hospitality, while also assisting with project management and day-to-day logistics.
Responsibilities:📌 Office Management & Administration:✔ Managing calendars, scheduling meetings, and synchronizing team agendas.
✔ Sending reminders to managers and employees regarding meetings and tasks.
✔ Answering calls, handling mail, and coordinating deliveries.
✔ Providing administrative support to the fund’s executives and owners, including personal errands.
✔ Ensuring kitchen order and cleanliness, managing office supplies and inventory.
✔ Office procurement – supplies, refreshments, holiday gifts, and event-related purchases.
📌 Logistics & Vendor Management:✔ Overseeing office services: internet, communications, cleaning, maintenance, and security.
✔ Coordinating and managing vendors, service providers, and technicians.
✔ Managing parking arrangements for employees and guests.
✔ Organizing and booking flights and accommodations for executives and teams.
✔ Maintaining office archives, coordinating document shredding, and ensuring smooth office operations.
📌 Employee Welfare & Social Initiatives:✔ Organizing internal events such as birthdays, holidays, team-building activities, and employee welfare initiatives.
✔ Ensuring a comfortable and welcoming work environment, including arranging meals, coffee, and refreshments.
✔ Leading initiatives like “Good Deeds Day” and team bonding activities.
📌 Finance & Accounting Support:✔ Managing petty cash, handling invoices, and executing bank transfers as per instructions.
✔ Preparing monthly cash flow reports in Excel in coordination with the finance department.
✔ Assisting with employee attendance tracking (vacations, sick leave).
📌 Executive Meetings & Investor Support:✔ Coordinating and preparing materials for executive and investor meetings.
✔ Ensuring hospitality arrangements for meetings, including refreshments and seating.
✔ Availability for afternoon meetings when required.

Requirements:✔ Bachelor’s degree – mandatory.
✔ At least 5 years of experience in office management, administration, or as an executive assistant, preferably in investment, tech, or finance sectors.
✔ Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word).
✔ High-level English – verbal and written.
✔ Strong organizational skills, reliability, discretion, and attention to detail.
✔ Service-oriented, able to work with executives, and manage multiple tasks efficiently.
✔ Proactive, energetic, and able to drive initiatives independently.
📍 Location: Herzliya Industrial Zone | Full-time position, 5 days a week
