Job Description
Position Summary:
The Program, Procurement, Customer Support, and IT Interns will support their respective departments by assisting with administrative tasks, data management, and operational activities. All interns will gain hands-on experience, contribute to department efficiency, and support organizational goals as needed.
Program Intern
Duties & Responsibilities
- Support in the day to day administrative functions of the Program Department.
- Assist with data entry, questionnaire development, and analyzing data.
- Translation of projects documents and reports from and into English.
- Collecting information from provinces, compiling data and drafting reports.
- Assist in conducting field survey, sampling and interviews (if needed).
- Assist in organizing filing system, record keeping (soft and hard).
- Assist in organizing meetings, taking notes if required.
- Assist in collection of data for proposal development or writing reports.
- Other various program management tasks as they may arise.
Duties & Responsibilities
- Assist in the day-to-day administrative functions of the Procurement Department.
- Support in preparing purchase requests, quotations, and bid analysis reports.
- Help in sourcing suppliers and collecting price quotations as per procurement guidelines.
- Assist in maintaining procurement records and organizing files (both hard and soft copies).
- Support in tracking orders, deliveries, and inventory updates.
- Assist in ensuring compliance with procurement policies and donor regulations.
- Help in conducting market research for pricing and vendor evaluation.
- Participate in supplier meetings and assist in documentation.
- Assist in compiling procurement-related reports and summaries.
- Other procurement-related tasks as assigned.
Duties & Responsibilities
- Assist in responding to inquiries from beneficiaries, partners, and stakeholders via phone, email, and other communication channels.
- Support in maintaining customer support logs and tracking response times.
- Help in resolving complaints and escalating issues to the relevant department when necessary.
- Assist in collecting feedback from beneficiaries and compiling reports.
- Support in maintaining an updated FAQ and resource database for common inquiries.
- Assist in training materials development for customer support improvements.
- Help in organizing meetings, preparing minutes, and following up on action points.
- Assist in analyzing customer queries to identify trends and recommend improvements.
- Other customer support-related tasks as assigned.
Duties & Responsibilities
- Assist in troubleshooting basic IT issues related to hardware, software, and network connectivity.
- Support in the installation and maintenance of software and IT systems.
- Help in managing user accounts, emails, and access permissions.
- Assist in updating and maintaining IT asset inventory.
- Support in ensuring data security, backups, and recovery processes.
- Assist in website updates, content management, and basic troubleshooting.
- Support in documenting IT procedures, user guides, and best practices.
- Help in providing IT training sessions to staff if required.
- Assist in responding to IT-related inquiries and escalating complex issues.
- Other IT support tasks as assigned.
- Bachelor's degree in a relevant field, such as Business Administration, IT or Journalism.
- Fresh Gradute with no prior work experience
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Good understanding of MS Office package.
