Title: Senior Officer Administration and Training Workshops
Location: Kabul, Afghanistan
Position Reports To: Sr. Administrative Manager
Summary Scope Of Work
The Senior Officer-Administration and Training Workshops oversees the training and
workshops delivery, ensuring accurate records, timely reports, and efficient resource use.
He/she collaborates with the Admin Manager to develop and implement training policies and
procedures. Additionally, he/she provides support to the Jhpiego Afghanistan office, working
proactively with the Administration Manager to manage training workshops tasks and
support administrative functions.

Responsibilities
Administrative Support: Provide comprehensive administrative assistance to the
Jhpiego/UHI main office and cluster offices, facilitating coordination among
departments and ensuring efficient workflow.
Workshop Coordination: Assist in organizing training courses and workshops by
coordinating logistics, managing training equipment, monitoring budget compliance,
and ensuring participant satisfaction through feedback collection.
Financial Management: Oversee the receipt and reconciliation of advance payments
from the Finance Department, ensuring accuracy and proper documentation.
Procurement and Supply Management: Manage procurement processes by routing
Purchase Requisition Forms (PRFs), ensuring timely supply of cooking gas,
stationery, water, and cleaning supplies, while conducting quality checks on food
provided by vendors.
Inventory Control: Support the Inventory Management Department with tagging and
labelling office assets, maintaining accurate records for effective asset management.
Translation and Reporting: Provide translation services for correspondence between
English, Dari, and Pashto; gather data for semi-annual reports to the Ministry of
Economy (MoEC) and manage customs clearance for shipments.
Perform any other tasks that support the overall project, as assigned by the
supervisor.
Required Qualifications

Minimum of bachelor’s degree from a recognized university, with at least 8-10
years of relevant experience, preferably in the non-profit or development sector.
Excellent organizational and administrative/management skills.
Strong analytical and supervisory skills.
Ability to synthesize complex concepts and communicate them effectively.
Strong attention to detail and ability to manage multiple tasks simultaneously.
Competence in computer skills, including word processing, Excel, internet, and
email.
Excellent oral and written communication skills in English, Dari, and/or Pashto.
Ability to manage day-to-day interactions with external service providers and
analyze their performance.
Excellent interpersonal skills with a service-oriented outlook.
Demonstrated ability to work collaboratively in a complex and rapidly changing
environment.
Ability to work effectively in teams as well as independently.
Preferred Qualifications
