We are looking for an experienced and proactive Office Manager to join our team and ensure our office operations run smoothly and efficiently. This role will be the heart of our office, managing daily administrative tasks, coordinating with vendors, and creating a welcoming environment for employees and guests. The ideal candidate is highly organized, service-oriented, and capable of multitasking in a fast-paced setting.
Key Responsibilities
- Office Operations: Oversee daily office operations, including opening and closing routines, supply inventory management, and ensuring a clean, organized workspace.
- Administrative Support: Assist with administrative tasks such as scheduling, calendar management, expense reports, and document filing.
- Vendor Management: Manage relationships with office vendors and service providers, including negotiating contracts and coordinating repairs and maintenance.
- Event Planning: Organize company events, team meetings, and office celebrations, from logistics to catering.
- Communication Liaison: Serve as the main point of contact for office-related queries, ensuring clear and prompt communication among staff and with external contacts.
- New Hire Onboarding: Support the HR team with onboarding activities to help new hires acclimate, including arranging workstation setup and welcome kits.
- Budget Management: Oversee the office management budget, tracking expenses, and ensuring cost-effective operations.
Required Qualifications
- Experience: 1+ years of experience in office management, administrative support, or a related role in a fast-paced environment.
- Skills: Strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
- Technology: Proficiency in MS Office (Word, Excel, PowerPoint) and experience with office management software is a plus.
- Communication: Excellent written and verbal communication skills.
- Problem-Solving: Ability to address and resolve office issues independently, with a solutions-oriented approach.
- Service-Oriented: A customer-service mindset with a welcoming attitude to assist employees and visitors.
