Technical AI Project Manager

As a Technical AI Project Manager at Hibob, you will play a critical role in realizing our “AI for Everyone” vision by driving AI adoption and integration across our business units. You will lead cross-functional initiatives to embed AI into key processes, establish best practices for responsible AI use, and build frameworks that prioritize security, budget control, and ethical data handling. This role requires a blend of technical and strategic expertise to scale our AI platform, empower teams to innovate with AI, and implement governance standards. Your efforts will ensure AI solutions are accessible, impactful, and aligned with our organizational goals.

This role requires a blend of technical expertise in AI and project management proficiency.

• Minimum of 3 years of experience in technical project management, ideally within the technology or SaaS sectors.

• Demonstrated ability to thrive in a fast-paced environment while managing multiple priorities.

• Strong passion and knowledge of AI, machine learning, and other advanced technologies.

• Familiarity with SaaS business processes – highly advantageous.

• Excellent communication and organizational skills to lead project teams and coordinate with stakeholders

• Build from Scratch: Demonstrated expertise in building new initiatives from the ground up, with a strong aptitude for creating, defining, and implementing cross-organizational frameworks that didn’t exist before. Must have the vision and capability to develop, enable, and maintain new structures that drive alignment and support scalable, long-term growth.

• Technical Project Management Experience : Proven experience leading cross-functional teams in successful technology project implementations.

• AI Knowledge : Familiarity with generative AI technologies, including prompt engineering, fine-tuning models, and retrieval-augmented generation (RAG) and Agents, with an understanding of their practical applications in business.

• Hands-On Development Skills : Experience with low/no-code platforms for AI process development and automation is a strong advantage.

• Stakeholder Engagement: Exceptional communication and interpersonal skills, with a proven ability to build trust and foster collaborative relationships across all organizational levels. Skilled in translating complex technical information into clear, actionable insights tailored to diverse audiences, ensuring alignment and shared understanding among stakeholders.

• Autonomous and Adaptable : Ability to work independently in a fast-paced environment, demonstrating resilience, adaptability, and a continuous drive for excellence.

Empowerment and Training

Support the democratization of AI by fostering a culture of learning and innovation across all departments.

• AI Training Programs : Develop and implement comprehensive training programs that enable teams to leverage AI in their roles, from technical upskilling to non-technical AI literacy. In a closed collaboration with the L&D team, different operations teams across the organization, and more.

• Organization-wide Adoption : Drive AI adoption efforts across departments to enhance productivity, automate processes, and foster a culture of continuous AI-driven improvement.Including visibility of the adoption within the departments, and the impact of the initiatives (define and build the right metrics to monitor).

• AI Champions guild : Establish and lead a community of “AI Champions” across various business units, acting as ambassadors to promote and expand AI usage and best practices within their respective teams. Empower the champions with external resources (conferences, lecturers, collaboration, and knowledge sharing with AI teams from other companies)

AI Platform Development

Collaborate with technical teams to create and refine an AI platform that supports the democratization and responsible use of AI across the organization.

AI Platform Planning and Execution : Work closely with development teams to design and implement an AI platform that enables efficient scaling, training, and integration of AI tools across Hibob.

• Develop a comprehensive onboarding program to the AI platform for all types of users (Tech vs.Business), Monitor the efficiency of the program, and implementation the needed adjustments for continuous improvement

• Monitoring, Budgeting, and Control : Set up monitoring and control mechanisms to track AI initiatives, ensuring they adhere to budget constraints while maximizing their impact.

• Strategic POCs : Lead and manage proof-of-concept projects that validate AI solutions, demonstrating their potential value and scalability within the organization.

Governance, Policies, and Initiative Management

Set the guardrails - Create a robust governance framework that balances innovation with security, compliance, and ethical considerations.

• AI Governance Framework : Establish a governance framework that defines policies, standards, and best practices for the ethical use of AI across Hibo, In close collaboration with the relevant teams within the organization: CISO, IT, Legal, etc.

• Data Protection Policies : Design data protection policies to ensure secure, compliant AI applications that responsibly utilize company data and comply with regulatory requirements.

• Innovation and Risk Management : Champion innovation by streamlining processes for piloting new AI initiatives while enforcing security and budgetary constraints to safeguard company resources.

• AI Initiative Grooming : Manage the AI initiative grooming process, ensuring that each project aligns with Hibob’s strategic goals and is evaluated for feasibility, impact, and alignment with company objectives.

Hands-on Implementation and Process Automation

Take an active, hands-on role in developing and deploying AI-driven processes to facilitate rapid integration across the organization.

• Low/No-Code Development : Design and build AI-driven workflows and processes using low/no-code platforms, enabling rapid deployment and empowering teams to utilize AI without extensive technical resources.

• Process Automation : Create and customize AI automation workflows to address business challenges, increasing efficiency and reducing repetitive tasks across departments.

Executive Reporting and Communication

Provide transparent and regular updates to maintain alignment with company leadership.

Executive Reporting : Share periodic status updates on AI projects and platform initiatives with executive managers, providing clear insights into progress, roadblocks, and results.

Stakeholder Engagement : Engage with executive and department leaders to understand business needs, gather feedback, and ensure alignment on AI goals and outcomes.
