Job Summary/Goals
- Supporting Kitchen team lead with all aspects of Kitchen building maintenance services as detailed in the scope of works
- Oversee Daily Operations: Ensure the smooth daily operation of all kitchen facilities and related infrastructure.
- Manage Maintenance Schedules: Develop and manage maintenance schedules to ensure all equipment and facilities are regularly serviced and in good working order.
- Budget Management: Oversee and manage the budget for maintenance and repairs
- Vendor Coordination: Coordinate with external vendors and contractors for specialized repairs and maintenance work.
- Safety Compliance: Ensure all facilities comply with health, safety, and environmental regulations.
- Documentation: Keep detailed records of maintenance activities, repairs, and inspections.
- Individual required working in a dynamic and fast paced environment with attention to detail
- Implement safety and sanitation procedures in kitchens.
- Gain the high level of Client’s and customers’ satisfaction.
- Enter work orders into the system: Manage the work order system, receive requests from different teams, document, and catalog requests, and forward them to the relevant parties for handling.
- Order equipment from suppliers without procurement: Identify suitable suppliers, obtain quotes, place purchase orders, track shipments, and resolve issues with suppliers.
- Track invoices: Receive invoices from suppliers, check their accuracy, approve them, and submit them for payment.
- Update work files: Manage and update shared work files, ensure data backup and order, and make information accessible to relevant teams.
- Task tracking: Manage schedules, track task progress, reminders, and statistical reports.
- HR control and training: Manage the HR system, update employee information, handle disciplinary issues, coordinate training and courses.
- Document management: Manage a document management system, store and retrieve documents, ensure compliance with procedures and confidentiality.
- Make payments to suppliers: Make payments to suppliers according to approved invoices, manage account balances, and monitor the budget.
- Attend conferences and trainings.
- Support team per need.
- Support Scope manager in other scopes managing
- Compliance with Health and Safety legislation.
- High customer satisfaction survey rating.
- Great communication with Client, contractors, and Colleagues.
- Continued learning and improvement on the job
- Previous experience in an administrative role (advantage).
- High-Level English Proficiency: Excellent command of written and spoken
- Full proficiency in Office software (Word, Excel, PowerPoint).
- Knowledge and experience in working with computerized systems.
- Ability to work independently and handle multiple tasks simultaneously.
- Excellent interpersonal skills and ability to work in a team.
