Exhibition and Experience Producer

EDEN Gallery is a leading art gallery with 15 international locations and a vibrant community of art lovers, collectors, and curators. We are looking for an experienced Exhibition and Experience Producer with an enthusiastic personality and strong service orientation to join our expanding team and use his/her expertise to have a big impact on our rapidly growing company.

Role description 

The exhibition and experience producer oversees the planning, execution, and overall management of all the events, exhibitions, and art fairs run by EDEN GALLERY and partners. This role requires a blend of project management, logistics coordination and creative direction to ensure the event runs smoothly and meets its goals and also may involve travel, depending on the location of the events and the participants involved.

Responsibilities

**Event & Exhibition Holistic Production Planning and Coordination:**

   - Develop and manage the event timeline, ensuring all milestones are complete.

   - Coordinate with the gallery's logistics team worldwide, suppliers, PR when needed,

     and sponsors to confirm participation and secure necessary agreements.

   - Oversee the layout and design of the event and exhibition, working closely with the

     event and exhibition designers to create a cohesive and engaging experience for

     attendees.

**Budget Management:**

   - Create and manage the event budget, ensuring all expenditures align with the

     financial plan.

   - Negotiate contracts with suppliers, vendors, and venues to optimize costs without

     compromising quality.

   - Monitor and report on financial performance

**Logistics and Operations:**

   - Manage the setup and teardown of the fair/ event / exhibition

   - Coordinate transportation and installation of artworks, ensuring they are handled with

     care and displayed correctly.

   - Oversee staff and volunteer coordination, assigning roles and responsibilities to

     ensure smooth operations during the event.

**Compliance and Permits:**

-      Ensure the fair complies with all legal requirements, including obtaining permits and licenses.

   - Liaise with local authorities and venue management to address compliance issues or

     concerns.

**Marketing and Promotion:**

   - Collaborate with PR teams to secure press coverage and manage media relations.

   - Plan and oversee the production of promotional materials, including catalogs,

    brochures, and digital content.

**Stakeholder Engagement:**

   - Act as the main point of contact for all participants, including artists, galleries,

    sponsors, and VIP guests.

   - Facilitate communication and provide support to ensure participants’ needs.

   - Organize and host VIP events and other special programming to enhance the EDEN

     GALLERY 

 **Post-Event Evaluation:**

   - Conduct a thorough post-event analysis, gathering feedback from participants and

     attendees.

   - Identify areas for improvement and plan for future editions of the fair.
