Evinature is a digital healthcare startup focused on the research and development of evidence-based herbal medicine. We are seeking a bright candidate to fill the role of Office manager. This role is an integral part of our company.
The Office Manager is responsible for ensuring the smooth operation of the office and administrative functions. He/She will oversee daily office functions, providing essential support to ensure a productive and organized work environment. This role requires excellent organizational skills, a proactive approach to problem-solving, and the ability to manage multiple tasks simultaneously.
Key Responsibilities:
Administrative Management:
- Manage and maintain office supplies, equipment, and inventory.
- Oversee office layout and ensure a tidy, organized workspace.
- Coordinate with IT support for office equipment and systems
- Handle incoming and outgoing mail, packages, and deliveries
- Oversee office insurance policies, including property, D&O, liability, and employee benefits.
- Coordinate with legal counsel on funding, contracts, agreements, and compliance issues. Maintain and update legal documents and records.
- Coordinate with building management for office maintenance and repairs.
Office and Staff Coordination:
- Support the CEO with tasks as required.
- Plan and coordinate office events, meetings, and conferences.
- Manage schedules and appointments for senior management.
- Handle travel arrangements and accommodations.
- Assist with onboarding new employees, including setting up workstations.
- Serve as the primary point of contact for internal and external inquiries.
Financial Management:
- Assist with budget preparation and expense tracking – later in the role.
- Process invoices, receipts, payments & expense report.
- Maintain financial records and reports.
- Continuous work with accounting firms, payroll and benefits.
- Manage office budgets and expenses, ensuring cost-efficiency.
Qualifications:
- Proven experience as an Office Manager, Administrative Manager, or similar role.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in office software (e.g., Microsoft Office Suite, Monday, Dokka).
- Ability to multitask and prioritize tasks.
- Knowledge of basic accounting and financial principles.
- Leadership and out of the box thinker.
- Fluent English
