International Programs Operation Manager

HKU-TLV was established by The University of Hong Kong (HKU) as its innovation and entrepreneurship hub in Tel-Aviv, Israel (see https://hku-tlv.org/ for more details). Among other things, we host and develop educational programs for delegations of executives and students from abroad (mostly from Hong Kong and China) to Israel, Europe and the US, typically 5-8-day programs. Through our programs, participants deepen their practical understanding of innovation and entrepreneurship and expand their cultural horizons.

Participants learn about various aspects of the latest technology trends and developments in both startups and established corporations, with courses covering subjects such as design thinking, open innovation, product management, fintech, blockchain, start-up financing, big data, and more.

Programs are designed to offer not only a unique intellectual and academic experience but provide exposure and engagement with startups and stakeholders in the local tech ecosystems visited, along with tours focused on understanding the innovation DNA of each location through history and culture.

With the recent border openings in Hong Kong and China, we are experiencing tremendous demand, and are looking to expand our team to help organize and coordinate all the programs. We are looking for someone who is ambitious and can work independently and has the desire to grow and develop with us.

Job Summary:

The International Programs Operation Manager is key to the successful coordination and implementation of the Hub’s programs and achieving its vision and goals. The successful candidate will be heavily involved in the planning, coordinating, and allocating resources for each program, monitoring progress, and keeping stakeholders informed throughout the project lifecycle.

The work involves communications with entities in Hong Kong, Europe, the US and Israel. Hence the ability to communicate in fluent written and spoken English is essential.

Deep familiarity with tech-ecosystems, innovation and entrepreneurship is a big advantage. The International Programs Operation Manager joining us will be able to help us not only to ensure success of current programs, but also to help us develop new ones.

Joining some international study trips abroad is likely a part of the responsibilities.

Duties/Responsibilities:

• Developing detailed work plans with all relevant partners and stakeholders
• Managing relationships with vendors and sub-contractors
• Communicating and coordinating across all involved parties and overseeing the successful delivery of the Hub’s programs.
• Ensure all projects are delivered on time within the scope and budget.
• Program building:

Market research about tech-ecosystem of selected locations

Help identify program speakers, and content

Obtain proposals/quotes for all program components.

Select suitable venues in each location for program lectures etc.

Help select main tourist attractions, restaurants, hotels in each location

• Develop a detailed plan to monitor and track the progress of the programs
• Coordinate with internal and external parties for the flawless execution of programs.
• Manage relationships between international and local partners and stakeholders.
• Report and escalate to upper management as and when needed.
• Create and maintain comprehensive documentation.
• Facilitate timely payment to speakers, vendors etc.
• Accompany delegations while in Israel, or overseas as the Hub’s representative when requested for up to 10 days (including over weekends) potentially 6-8 times annually
• Manage social media channels and website
• Write marketing content (social media, website, newsletters, brochures etc.)
• Manage production of marketing materials
• Building presentations

Required Skills/Abilities:

• Excellent verbal and written communication skills in English.
• Team player with excellent interpersonal skills (high EQ).
• Self-Motivated
• Ability to take on tasks and work independently
• Strong leadership skills.
• Excellent organizational skills and attention to detail.
• Strong analytical and problem solving skills.
• Presentation skills, confidence managing and presenting to large groups
• Proficient with Microsoft Office Suite, Monday.com, Power Point, Canva
• When needed, have the ability to work overtime, including weekends and late nights (when delegations are in Israel and abroad).
• Advanced knowledge of social media is a real plus

Education and Experience:

• Bachelor’s degree in Business Administration, South-East Asian Studies, Logistics, or other industry-related field required; MBA an advantage.
• Industry-related experience is required. Several years in management is a plus.
• At least 4 years project or event management
