Position Summary
The Administration Assistant will play a vital role in ensuring the smooth operation of HIAS Israel's office. The role will be asked to support the administration of the HIAS Israel office and of its Emergency Response, often achieving a variety of key roles and tasks across functions. This role is split equally between supporting the Emergency Response Team and attending to the daily administrative needs of the office. The successful candidate will be a highly organized and adaptable individual with a strong commitment to HIAS's mission.
Essential Functions
- Managing ongoing administrative activities necessary for the efficient functioning of the office: supplier management, front desk reception, and responding to phone and email inquiries.
- Assisting the financial manager in preparing and organizing financial documents (receipts, petty cash journal, reports).
- Assisting with matters related to safety, security, and work against the organization's computer consultant and the IT department.
- Providing programmatic support as required for emergency response and HIAS Israel.
- Translating documents from Hebrew to English and from English to Hebrew.
- Liaise with vendors and IT teams to ensure timely procurement and maintenance of emergency response and HIAS Israel equipment and resources.
- Maintain accurate records of emergency response activities, including vendor contracts, equipment warranties, and IT system updates.
- Provide logistical support on-site, ensuring that all necessary resources are readily available.
- Support leadership with any other duties within the capacity of the position as needed.
- Previous experience in administration, preferably in a nonprofit or humanitarian organization.
- Strong organizational skills and attention to detail.
- Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.).
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize effectively.
- Commitment to HIAS's mission and values.
- Fluency in English and Hebrew is required. Additional languages are a plus.
