Job Description
Primary Responsibilities:
- Coordinating meetings and provide reminders, managing schedules, assisting in agenda creation, and providing minutes when requested.
- An understanding of how to navigate and utilize the HR, expense and purchasing systems.
- Creating and distributing confidential correspondence, presentations, and reports
- Manage third-party subscriptions and resources, including renewals and memberships.
- Supporting other special projects as assigned.
- Ordering office supplies and overseeing office functions.
- Support financial activities, purchase orders, preparation of down payments, creation of new suppliers in the system etc.
- Support HR related activities, hiring contracts, welfare activities, HILAN reporting tool, team communication etc…
- Support procurement related activities
- Main point of contact for all safety, security, and facility related activities
Education Minimum Requirements:
- High School Diploma or Equivalent, B.A/B.Sc is an asset
- Minimum 3 years of administrative experience
- Business systems processing experience for expense reports, purchase orders and payment requests.
- Self-starter whose work priorities and activities are reviewed with little supervision.
- Strong organizational, prioritization and time management skills.
- Ability to handle sensitive data with discretion and confidentiality.
- Effective business communications - both written and oral
- Exceptional interpersonal skills and the ability to manage relationships with internal and external parties are essential.
- Ability to problem solve through investigation and solution identification.
- Proficiency in using MS Office Suite (Outlook, Word, Excel, PowerPoint, OneNote) and operation of other related programs & HR systems.
- Ability to prepare and assist with PowerPoint presentations and manipulate / work with advanced Excel spreadsheets.
- Fluent in English
