Primary role is to support the Facilities and Real Estate (F&RE) function to ensure a best in class service is provided to our stakeholders and team members within the workplace.Primary responsibility for supporting the administration elements and duties of the defined Facilities team provide support for the Reception services.Key Responsibilities
- Prioritising and executing day to day FM operational activities.
- Inputting / reacting to / resolving FM CAFM system (Helpdesk: Jira, Work Day) work orders / tickets.
- Reacting to incidents as they occur and escalating as necessary.
- Assisting in office audits including reporting issues and working to resolve these.
- Order and maintain the necessary levels of consumables, stationary and other required items within the environment.
- Daily checks to maintain the quality of our workspace: meeting rooms, cleaning, printer, coffee machines, etc.
- First point of contact for the cleaning company/cleaner ensuring optimum standards are adhered to at all times.
- Contact and liaise with suppliers to arrange repairs, maintenance, etc.
- Act as a first point of contact for employees and suppliers.
- Work with Fleet and Travel teams assisting in matters relating to our team members traveling (assistance in maintenance and admin of the TMS and liaising with stakeholders regarding fleet support).
- Vehicles - policies, fine, reports, lists, updates
- Assisting with event management: local events (happy hours and various ad-hoc events for team members) and external events or team activities
- Holiday Gifts, Birthday, weeding
- Data input of facilities datasets: office occupancy, CSR / utilities, FM dashboards and other databases and documents as required.Responsibility for uploading content to a closed circuit system
- Supervision and control of recycling processes
- Work with facilities team members on PO raising and assisting in invoice reconciliation.
- Suggest options and efficiencies regarding budget creation and development.
- Management of the reception desk / area ensuring this is presentable and operational at all times.
- Education Degree: Administration/facilities support or related.
- 2+ years experience in administrative / facilities management or office management environment.
- Entry level role for someone with a keen interest in pursuing facilities management as a career.
- Google suite knowledge is advantageous.
- Ability to multitask with good organizational skills.
- Spoken and written English is highly desirable.
